    Good on ya for building an agency. It's a tough gig, isn't it? We all start with big plans: fantastic results for clients, a team humming along, solid profits. But the truth is, for many of us, the day-to-day grind feels more like putting out fires than making progress.

    One of the biggest headaches I see, and one I certainly grappled with at Straight Up Digital in the early days, is a lack of robust internal processes for delivering SEO. We talk a lot about strategy, client communication, and sales, but often the nitty-gritty of how we actually get the work done for clients gets overlooked. This oversight is a profit killer and a client retention nightmare.

    Think about it. You've sold an SEO package. The client's excited. Your team's ready to go. But then what? Is there a clear, repeatable roadmap for everything from keyword research to technical audits, content creation, and link building?     • Tool Setup: A checklist for setting up client accounts in your various SEO tools, rank trackers, crawling software, reporting dashboards, project management systems.
    • Initial Audit Template: Provide a clear template for the initial technical audit and content review. This isn't about the findings yet, but about the process of performing the audit.

    This is the bulk of it. Break down every major SEO activity into its component parts and define a step-by-step workflow for each.

    Processes are only as good as their execution. Build in specific checkpoints where work is reviewed before it progresses to the next stage or is delivered to the client.

    • Manager Review: For all client-facing deliverables.
    • Pre-Publishing Checklist: A final check before any content or technical changes go live.

    4. Create Standardised Reporting Procedures

    Reporting isn't just about showing results; it's about demonstrating value and building trust. A clear process ensures consistency and efficiency.

    • Report Template: Use a consistent template that includes key metrics, progress against goals, activities completed, and next steps.
    • Data Collection Schedule: Define when and how data is pulled from Analytics, Search Console, and other tools.
    • Analysis and Insight Generation: Don't just report numbers; explain what they mean for the client's business.
    • Delivery and Presentation Guidelines: How reports are sent, who presents them, and key talking points.

    Implementing and Refining Your Processes

    • Document Everything: Use a centralised system for all your process documentation, a wiki, Google Docs, Notion, whatever works for your team.
    • Train Your Team: Don't just hand them a document. Walk them through each process, explain the 'why', and get their feedback.
    • Get Buy-In: Involve your team in creating and refining these processes. They're on the front lines and will have valuable insights.
